Basic Definitions in DBMS
Before learning Database Management Systems (DBMS), it is important to understand some basic terms such as Data, Information, Database, Metadata, Field, Record, and File. These concepts form the foundation for understanding how databases store and manage information.
1. What is Data?
Data is a collection of raw facts and figures that may not have a meaningful interpretation by themselves.
Examples of data include:
- 101
- Ravi
- 20
- Computer Science
2. What is Information?
Information is processed and organized data that has a meaningful interpretation and is useful to the user.
For example, consider the following data:
- Student Name: Ravi
- Marks: 85
3. What is a Database?
A database is an organized collection of related data that can be stored, accessed, managed, and updated efficiently.
For example, a college database may contain:
- Student details
- Course details
- Marks
4. What is Metadata?
Metadata means data about data.
It describes the structure, properties, and characteristics of the data stored in a database.
For example, a Student table may contain the fields:
- Roll_No – Integer
- Name – Character/String
- Age – Integer
- Roll_No – Primary Key
5. What is a Database Management System?
A Database Management System (DBMS) is software used to create, store, organize, retrieve, update, and manage data in a database.
Examples include MySQL, Oracle Database, PostgreSQL, and Microsoft SQL Server.
6. What is a Field?
A field is a single data item or attribute of an entity. In a database table, a field is generally represented by a column.
Example:
| Roll_No | Name | Age |
|---|---|---|
| 101 | Ravi | 20 |
7. What is a Record?
A record is a collection of related fields that describes one particular entity or item. In a table, a record is generally represented by a row.
Example:
| Roll_No | Name | Age |
|---|---|---|
| 101 | Ravi | 20 |

8. What is a File?
A file is a collection of related records stored together.
Example:
| Roll_No | Name | Age |
|---|---|---|
| 101 | Ravi | 20 |
| 102 | Sita | 21 |
| 103 | Kumar | 20 |
